The season runs May to September, but everything is decided between October and February. Wedding planners and agriturismi are two different trades approached differently — and winning over a planner is worth far more than winning over a couple.

A market booked a year ahead

Anyone who plays weddings knows it: you do not find a June date in March. Couples in northern Italy book the venue twelve, often eighteen months ahead, and the music follows immediately — sometimes in the same meeting with the wedding planner. Writing in spring for the current season means arriving after everything is settled.

That is why this circuit rewards the organised. The season runs from May to September, but the selling is done between October and February.

The agriturismo

An agriturismo is a venue. It keeps a list of suppliers it recommends to couples, and it wants the day to run smoothly on its own grounds. Its concerns are practical: how much power you need, how long you take to set up, whether you play outside if it rains. Answer those questions before they are asked and you will be on the list.

What to write, and what not to

The message that works here is not about you. It is about the wedding day: what you play as guests arrive, during the ceremony, at the aperitivo, over dinner. A planner thinks in moments of the day, not in repertoire.

Quote a price per format — ceremony only, ceremony plus aperitivo, full day — and say what it includes: PA, travel, hours on site. Negotiations almost always stall on what was left unsaid.

The mistakes that cost a season

  • Sending a concert video. A couple and a planner want to see a wedding, not a stage. If you have none yet, film a piece in the right light and say so honestly.
  • Saying nothing about the weather. In northern Italy you play outdoors from May to September. Anyone without an answer for rain loses ground immediately.
  • Writing mid-season. In June the planner is on site every weekend and does not read email. Write between October and February.

What you actually play on the day

A wedding is not a concert cut into pieces. It is a day made of transitions, and the transitions are what you are judged on. Guests arriving need a background that does not force people to raise their voices. The ceremony needs you to stop dead and resume on a cue, with no visible score. The aperitivo needs ninety minutes without anyone noticing you played the same piece twice.

What you can settle immediately is invoicing. A professional planner works with suppliers who invoice; saying so in your first message removes a doubt.
