Playing Italian theatres: the season is decided in spring

An Italian season runs October to April, but it is programmed the spring before. Writing in September means arriving a year late — or six months early.

Two families in one file

The 481 entries in this pack are not all theatres in the strict sense, and that is good news. There are 319 teatri — from historic opera houses to municipal theatres running a full season — and 162 performance centres: auditoriums, multipurpose halls and cultural centres that programme live music without carrying the word theatre in their name.

That second group is almost always the better way in. A municipal theatre in a mid-sized town thinks in seasons, with a specification, a voted budget and sometimes a year's lead time. An auditorium or cultural centre decides faster, on a single evening, and can be won over by a project it would never have gone looking for. The season is decided in spring, not autumn

This is the exact opposite of the festival circuit, and the mistake comes round every year. An Italian season runs from October to April, but its cartellone is built between February and June of the preceding year. Writing in September for the season starting in October means writing to someone whose programme has been at the printer since the summer.

The right window is February to May. That is when directors compare proposals, try to balance their programme, and have not yet filled the weeknight slots — precisely the ones still open to an artist nobody knows. January serves a different purpose: it is when cancellations get covered, and when a proposal ready to travel immediately sometimes finds a date at a fortnight's notice.

The gestore trap

Many Italian municipal theatres belong to the town but are run by a private operator or a cooperative, the gestore, to whom programming is delegated by contract. Writing to the town hall in that case leads nowhere: your message reaches a culture department that decides nothing.

The theatre's own site tells you in two minutes, usually in the footer or the legal notice: where a company or cooperative name appears beside the venue's, that is your contact. The file gives you the address the theatre publishes — checking who reads it before you write is often the difference between an answer and silence.

What the file holds, and what it lacks

All 481 email addresses passed domain verification. 97 % of entries have a website and 76 % a full postal address, which makes this pack usable for building a coherent geographic route rather than a scattering of mailings.

Slightly fewer than half the entries — 44 % — carry a phone number. That is a real gap, and it weighs more here than on other circuits: unlike a festival, a theatre answers its phone, and one well-timed call in March is worth three emails. Where the number is missing the venue's site almost always publishes it; treat the file as saving you most of the work, not all of it.

What a theatre is actually buying

This is the distinction that sinks most musicians' applications: a theatre is not buying a concert, it is buying an evening that holds together. The difference is practical, not artistic. It wants to know how many people walk onto the stage, what it must supply in sound and light, how long the show runs and whether there is an interval.

A proposal that answers those four questions in the first message goes ahead of a musically stronger but vaguer one. Add a technical rider that fits on one page and you are already above the average of what an Italian artistic director receives.

Writing to a theatre's management

Name the season you are aiming at, not "a date at your venue": writing stagione 2027-2028 shows you know the trade's calendar. Cite one or two rooms you have already played, however modest — in Italy a reference reassures more than a genre does. Give a single link, playable without signing up, and a precise running time.

And write in Italian. The large houses read English, but most of this file is made of town theatres where a few clumsy lines of Italian will be received better than a flawless English message.

The mistakes that cost a season

Writing in autumn for the season already running. Proposing a concert with no duration and no format. Sending a heavy press kit as an attachment instead of a link. Contacting the town hall instead of the gestore. And the commonest of all: never following up. On this circuit, silence in March almost never means refusal — it means that person reads proposals in batches, once the budget is known. A three-line follow-up in May, courteous and free of reproach, puts your name back on top of the pile at exactly the moment it is useful.
